Anatomy of a formal letter

Block letter format, left-aligned, no paragraph indents, one blank line between sections, is the modern default. Older “modified block” and “indented” formats still exist but look dated.

Section order (block format)

  1. Sender address, your own address, top left, no name above it.
  2. Date, written in full (15 April 2026, not 15/04/26).
  3. Recipient name and address, each line left-aligned, below the date, with one blank line above.
  4. Subject line, bold, starts with “Re:” or “Subject:”.
  5. Salutation, “Dear Ms Rodriguez,” or “Dear Hiring Manager,” if the name is unknown.
  6. Body, three paragraphs for most letters: context, specifics, action.
  7. Sign-off, “Yours sincerely,” when you know the name; “Yours faithfully,” when you do not (British); “Sincerely,” everywhere else.
  8. Signature + printed name, leave four blank lines between sign-off and typed name for a wet signature.
  9. Enclosures, “Enc: CV, portfolio” below the signature block.

Language that ages well

  • Open with the point; do not bury it under pleasantries.
  • Avoid “I hope this letter finds you well” and “At your earliest convenience”, they sound dated and insincere.
  • Use present tense for current facts, past tense for events, conditional for requests.
  • “Please find attached” is correct but redundant in an email. In a physical letter, use “Enclosed you will find…” or the “Enc:” footer.

Cover letter specifics

A strong cover letter puts the employer’s problem in paragraph one, your relevant experience in paragraph two, and a clear call-to-action in paragraph three. One page maximum. Address it to a named person whenever possible; LinkedIn or the company’s team page usually lists the hiring manager.

Resignation specifics

Keep it factual. Include:

  • Your role and notice period.
  • Your last working day (calculated from notice).
  • A short, graceful line thanking the company.
  • No grievances. Save those for the exit interview.

Frequently Asked Questions

British English convention: “Yours sincerely” when you open with a name (“Dear Ms Brown”); “Yours faithfully” when you open generically (“Dear Sir/Madam”). American English uses “Sincerely” across the board and drops “Faithfully” entirely.

DOCX if the recipient will edit or print it; PDF if it will be filed or shared externally (locks formatting across software). Plain text for pasting into HR portals or webmail where rich text gets mangled.

Formally structured, informally warm. Use the block-letter format, but keep the body brief and appreciative. Resignation letters often outlive the relationship and may be read years later in reference checks.
