Build a letterhead that leaves room for the letter
A letterhead is the reusable frame around your correspondence. It identifies the sender before the reader reaches the first sentence, so it should carry the information people genuinely need: your organisation name, a reliable way to reply and a visual cue such as a logo, initials or brand colour. The page still needs to work when it is printed in black and white or copied into a plain email attachment.
Start with the business name at the most prominent size. A short tagline can sit below it, but do not let it compete with the name. Put the practical details in a quieter line or column: email, phone, website and postal address. If the contact list starts to look crowded, keep the channels that are useful for the document in front of the reader and remove the rest.
The page size matters when you will print rather than only share a PDF. A4 is defined by ISO 216 and measures 210 × 297 mm. US Letter measures 8.5 × 11 inches, or 215.9 × 279.4 mm. They are close, but they are not interchangeable: an A4 design is taller and slightly narrower. Pick the stock that your recipients or office printer normally uses before you settle the spacing.

Keep the header and footer clear of the printable edge. Many home and office printers cannot print all the way to the paper boundary, and a tight logo or address can be clipped even when it looked fine on screen. Use the live preview to check the balance: the header should establish the sender, while the body area should remain the largest part of the page.
Before printing, proofread the contact information as carefully as the letter. A wrong domain, telephone number or old address makes the stationery less useful every time it is reused. In the print dialog, confirm the same paper size you selected here. Choose the browser option to save as PDF when you need a fixed document for email or filing. Use the PNG export for a visual mock-up, an approval thread or a design reference.
